Event and organizer
When the Leaves Fall (the “Event”) is a three-day in-person experience presented by Captivate the Room, a New York S corporation, with a mailing address at 160 W. 24th Street, Unit 4N, New York, NY 10016. The Event is scheduled for November 9–11, 2026 in Chelsea, New York City. Exact venue access instructions and the final daily schedule will be provided to registered attendees.
Investment and payment
The Event investment is $3,000 per person. A $1,000 nonrefundable deposit reserves an accepted attendee’s place. The remaining $2,000 balance is due no later than October 9, 2026. Registrations made on or after October 9, 2026 require payment in full. Payments are processed through WAVVE, a Stripe-based payment system. A registration is not complete until required payment and acceptance of the Event Participation Agreement are received.
Come Together invitation
Attendees who register with a friend by September 30, 2026 may each receive $250 off the Event investment. Both individuals must register separately, pay their own required deposit, and sign their own Event Participation Agreement by the deadline. The offer has no cash value, cannot be combined with another promotion, and may not be applied retroactively.
What is included
- Admission to all three standard Event days.
- Designated private-chef meals and refreshments identified in the final schedule.
- One Broadway ticket selected by Captivate the Room.
- The standard Event video experience.
- Sessions and experiences led by Tracy Goodwin, confirmed guest Michael Arden, and curated contributors in areas that may include video, movement, messaging, sound, creative direction, and embodied transformation.
Additional contributors, topics, timing, sequence, meals, experiences, and production elements may change as the Event is finalized. Except where expressly stated, airfare, hotel, ground transportation, parking, personal expenses, additional meals, wardrobe, hair and makeup, and custom video production are not included.
Video experience
The Event is expected to include a professionally guided video experience centered on creating a strong personal or professional introduction. Participation is not a promise of a speaker reel or custom production package. Exact format, filming time, creative direction, locations, editing, duration, number and type of files, raw-footage access, and delivery timing depend on the final production plan and may change. Captivate the Room will communicate the confirmed deliverables when available.
Guest, show, and schedule changes
Michael Arden is a confirmed guest as of publication. Guest illness, professional obligations, emergencies, production changes, or circumstances beyond Captivate the Room’s control may require substitution, rescheduling, remote participation, or program modification. A change in a guest, contributor, session, meal, venue within New York City, Broadway production, schedule, or sequence does not by itself create a refund right. If the selected Broadway performance is cancelled, Captivate the Room may provide a replacement experience or other reasonable remedy in its discretion.
Attendee cancellation, transfer, and nonattendance
The $1,000 deposit and all subsequent payments are nonrefundable. Attendee cancellation, nonattendance, travel disruption, illness, scheduling conflict, dissatisfaction, or a change of mind does not create a refund, credit, or substitute service. Captivate the Room may, in its discretion, approve transfer of a fully paid registration to another eligible person if requested in writing by October 9, 2026. Transfers are not guaranteed, may occur only once, and require the substitute attendee to sign the Event Participation Agreement. Mastermind-included admission is nontransferable.
Postponement, cancellation, and force majeure
If Captivate the Room postpones the Event, payments will transfer to the replacement dates. If Captivate the Room cancels the Event and does not offer replacement dates, Event registration payments received directly for the Event will be refunded. Captivate the Room is not responsible for airfare, lodging, transportation, lost income, or other attendee expenses. Weather, public-health events, government action, labor disruption, venue failure, transportation interruption, performer or contributor unavailability, emergency, casualty, or other circumstances beyond reasonable control may require modification, relocation, postponement, or cancellation.
Health, movement, meals, and personal responsibility
Participation is voluntary. The Event may include movement, sound, reflection, alcohol, food, filming, and other experiential activities. Attendees are responsible for determining whether an activity is appropriate for them, disclosing relevant limitations or allergies, following safety instructions, and declining any activity they do not wish to undertake. Dietary requests will be considered when submitted by the stated deadline but cannot be guaranteed. The Event is educational and experiential and does not provide medical, mental-health, legal, tax, investment, or financial services.
Filming, photography, and attendee privacy
Captivate the Room may photograph or film general Event activities. Attendee preferences and any available opt-out procedure will be communicated before the Event. Captivate the Room will obtain separate affirmative permission before using an attendee’s individual video, testimonial, voice, likeness, or transformation story as featured promotional content. Attendees may not record sessions or photograph, film, post, identify, or share another guest without that person’s express permission.
Confidentiality, conduct, and removal
The Event is designed as an intimate and confidential environment. Attendees may not disclose another guest’s personal story, business information, ideas, footage, identity, or contributions without express permission. Solicitation, pitching, recruiting, harassment, discrimination, threats, disruption, unsafe conduct, excessive intoxication, unauthorized recording, intellectual-property misuse, AI ingestion of protected content, and conduct compromising the experience or safety of others are prohibited. Captivate the Room may deny entry or remove an attendee for breach without refund.
Intellectual property and AI restriction
Psychology of the Voice®, Voice MRI™, Voice Masks™, Voice Stories™, and all Event frameworks, language, exercises, recordings, feedback, and materials remain the property of Captivate the Room or the applicable contributor. Attendance provides a limited right of personal implementation only and no right to teach, copy, adapt, train, certify, distribute, publish, sell, license, or create derivative work. No Event content, recording, transcript, participant information, contributor material, or proprietary work may be uploaded or provided to a generative-AI, transcription, note-taking, machine-learning, or automated-processing system.
No guaranteed results
Captivate the Room does not guarantee any personal, professional, creative, financial, business, publicity, visibility, speaking, relationship, or other result. Each attendee is responsible for their own decisions, participation, travel, property, health, conduct, implementation, and results.
Agreement, notices, and disputes
The signed Event Participation Agreement controls if it conflicts with these summary terms. Electronic signatures and email notices are accepted. Notices to Captivate the Room may be sent to tracy@captivatetheroom.com. New York law governs. Disputes will proceed through written notice, good-faith informal resolution, confidential mediation in New York, and, if unresolved, binding arbitration, subject to the signed Event Participation Agreement and any legally permitted small-claims or emergency intellectual-property remedies.
